Identity & Contact

• Why we need it: to set up your member profile and keep in touch

• How long we keep it: up to 2 years after membership ends

Billing & Payment

• Examples: banking details (PAD) or card token (Stripe)

• Why we need it: invoice processing and potential refunds

• How long we keep it: 7 years (for tax compliance)

Access Logs

• Examples: door-fob events, Wi-Fi MAC-address logs

• Why we need it: space security and network integrity

• Data is kept until asked to be removed

CCTV Footage

• Examples: video (no audio) in common areas

• Why we need it: to deter and investigate safety incidents

• How long we keep it: 30 days, then auto-purged

Usage Data

• Examples: desk bookings, meeting-room reservations

• Why we need it: to improve space utilization and member experience

• Data is kept until asked to be removed

3  Consent

We collect personal information with your knowledge and consent when you:

• Sign up or log into the Optix app
  
• Tap a door fob or access Wi-Fi
  
• Appear on CCTV while onsite
  

You may withdraw consent at any time, subject to legal or contractual restrictions.

4  Sharing with Service Providers

We share limited data with trusted providers who help us operate:

• Optix – member app & CRM
  
• Stripe – payment processing
  
• Google Workspace – email & cloud storage

All providers are contractually bound to safeguard your information and may store data outside Canada (e.g., U.S.).

5  Security

• CCTV cameras, key-card access, and alarm monitoring
  
• Encrypted payment processing (PCI-DSS compliant via Stripe)
  
• Segmented guest Wi-Fi network & traffic monitoring
  
• Staff training on privacy and data-handling practices

Under PIPA/PIPEDA, you can request to:

2. Correct inaccuracies
   
3. Withdraw consent to non-essential uses
