Welcome to Suite Genius! By using our coworking spaces, website, or app, you agree to the following Terms of Use, which govern your membership, behaviour, and access to our facilities. These terms are designed to ensure everyone enjoys a safe, respectful, and productive space.

1. Agreement Overview

Suite Genius memberships are provided on a month-to-month basis under a revocable license, not a lease or tenancy. That means you’re free to use our spaces, services, and amenities as long as your membership is active and in good standing—but you're not entering into a landlord-tenant relationship.

By creating a Suite Genius account, logging into our app, or using our coworking spaces, you agree to these Terms of Use. If you don’t agree with them, please don’t use the services.

2. Membership & Billing

• Memberships renew automatically each month.
  
• Members may cancel with written notice via email:

  • Hot desk / dedicated desk: 1 month’s notice
  • Private office: 2 months’ notice
    
• Invoices are processed at the start of each billing period. Private offices use direct debit; other members can pay via credit card or direct debit.
  
• Late payments may lead to suspended access.
  
• Prices are subject to change with 30 days’ notice.

3. Space Usage & Conduct

We’re all here to do our best work. Please help keep the environment collaborative and respectful.

• Common Areas: Clean up after yourself in kitchens, lounges, and shared desks.
  
• Meeting Rooms: Book through our app or at book.suite-genius.com. Wipe down whiteboards and leave rooms tidy. Charges may apply beyond monthly allowances.
  
• Quiet Enjoyment: Respect others’ need for focus. Use headphones, take calls in phone booths or meeting rooms and avoid loud conversations.
  
• Guests: Allowed only during business hours (Mon–Fri, 9am–5pm). Must be accompanied and supervised at all times. Extended guest visits require prior approval and a day pass.
  
• Pets: Welcome at management’s discretion. Pets must be clean, well-behaved, and near you at all times.

4. Access & Hours

• Regular office hours: 9am–5pm, Mon–Fri (closed on BC stat holidays).
  
• Members with 24/7 access may use the space at any time, but overnight use (midnight–6am) is discouraged for safety.

5. Health & Safety

• Please stay home if you’re sick or recovering from illness. Wash hands regularly and help maintain a clean environment.

6. Security & Liability

• Security keys must be returned at the end of your membership. Lost or unreturned keys will result in a $100 charge.
  
• Our spaces may have video security cameras for safety. Recordings are automatically deleted after 30 days.
  
• Suite Genius is not liable for lost, stolen, or damaged items. Members are responsible for their own property and guests.
  
• Members shall indemnify Suite Genius for any damage caused by them or their guests.

7. Internet Use

• Our Wi-Fi is shared—no illegal downloads, spamming, or bandwidth-heavy streaming.
  
• Don’t share Wi-Fi access with non-members without permission.

8. Mail Handling

• Members may use our address as their business mailing address while active.
  
• You’ll be notified by email when mail arrives. Pick up during office hours.
  
• We don’t accept COD or postage-due packages. Anyone in the space may sign for deliveries on your behalf.

9. Events & Community

• We host community and private events occasionally. Some events may bring non-members into the space. You’ll be notified in advance.
  
• Participation is optional but encouraged—community is a core part of what we offer.

10. Confidentiality & Open Environment

• Suite Genius is a shared, open-concept workspace. Be mindful that conversations may be overheard.
  
• Any confidential information disclosed by Suite Genius or other members must be kept private.

11. Insurance

• Suite Genius carries commercial insurance. We recommend members obtain renter’s or business contents insurance for their own property and equipment.
  

12. Changes to These Terms

• These Terms of Use may be updated periodically. The latest version will always be available at suite-genius.com/tou. Continued use of our services means you accept the new terms.
  

13. Legal Details

• These Terms of Use are governed by the laws of British Columbia, Canada.
  
• Any disputes will be resolved through the courts of British Columbia.
  
• The legal entity operating Suite Genius is 0956404 B.C. Ltd., doing business as Suite Genius.

14. Respectful Workplace & Non‑Discrimination

• Suite Genius is committed to a safe, inclusive environment free from discrimination, bullying, and harassment as defined by the BC Human Rights Code. We may suspend or terminate access for behaviour that violates this standard.

15. Force Majeure

• Suite Genius isn’t liable for delays, interruptions, or closures caused by events beyond our reasonable control (such as power outages, natural disasters, or pandemics).

16. Severability & Entire Agreement

• If any part of these Terms is held unenforceable, the rest remains in effect. These Terms constitute the entire agreement between you and Suite Genius regarding your membership and use of our services.
